Sales Administrator


This is a Full-time position in Ottawa, ON posted July 5, 2018.

Essential Duties And Responsibilities:

  • Coordinates machine preparation and PDI requirements with the Service and Parts Departments to ensure complete, professional and on-time deliveries are achieved. Tracks the progress daily and reports exceptions to the General Manager. 
  • Remains current with Deere and outside financing programs to ensure clear and accurate financing options and calculations for individual deals. 
  • Help calculate the customer equipment alternatives by matching asset management with customer requirements. 
  • Coordinates machine and attachment availability; sales assignments and priorities; and assist with transport requirements with the Traffic Department. 
  • Accountable for tracking rental, loaner, demo machines and attachment movements as per original agreements and report exceptions to the General Manager. 
  • Ensure new equipment releases; shippers; rental agreements; credit replies; sales documents; insurance confirmations; PM’s; appraisals; off-rent checklists; and assorted other paperwork is signed, completed on time, originals delivered immediately to the correct recipient, and signed copies are maintained. 
  • Conduct branch whole goods inventory counts monthly, including new & used machines/attachments. 
  • Maintain and manage complete sales/rental files by customer which includes actual machine quotes. 
  • Track and update loaner and demo activity, ensuring all insurance and demo documents are submitted. 
  • Coordinate shop repairs/PDI’s/equipment releases on new and used equipment with respective shops. 
  • Handle walk-in traffic and customer inquiries which may include taking prospective customers into the shop/yard to view inventory; and forwarding sales leads to Territory Managers. 
  • Maintain a sufficient supply of sales literature/brochures in branches for John Deere and other product lines. 
  • Maintain familiarity with JDU product sales training and with Nortrax’s other product lines. 
  • Monitor the Deere website, circulate links with pertinent data to the sales team and ensure a well stocked product library is maintained. 
  • Visit other assigned branch(s) once a month to review inventory and assist with sales process as needed. 
  • Organize and complete new sales follow-up binders, and coordinate with Territory Manager’s to deliver to the customer following machine delivery. 
  • Answering telephone calls and transfer to appropriate staff.
