Administrative Assistant


This is a Contract position in Ottawa, ON posted November 16, 2023.

Administrative Assistant
Adecco is currently recruiting for an Administrative Assistant for a 12 month on site contract with a possibility of extension. This role is with our client in downtown Ottawa, ON.
The Administrative Assistant will have the following responsibilities:

  • Issues badges and passes to visitors authorized to enter company property;
  • Checks for approval of controlled items entering or leaving facilities;
  • Follows and maintains lobby procedures;
  • Coordinates and arranges corporate business travel and related expense reports;
  • Responsible for certifying that all visitors have the proper access per Client’s policy & procedure;
  • Greets all guests upon arrival and provide temporary visitor badges per company policy.
  • Retrieves mail daily;
  • Accepts and signs for packages as they are delivered;
  • Assists in monthly breakdown/reallocation of bills relating to accounts payable;
  • Manages incoming calls;
  • Supports other activities or special projects as required by program management;
  • Maintain a clean, organized, and professional office always;
  • Other duties as required;

The Administrative Assistant must meet the following mandatory requirements:

  • Must have a college diploma or certificate in office administration/Business Administration or any other related field;
  • Must have minimum 3 years of relevant experience;
  • Must have experience in applying appropriate techniques and practices in planning, priority setting, and organizational assessment, required to manage shifting and unforeseen priorities;
  • Must have in-depth knowledge of various software programs (Microsoft Office: Word, Excel, and PowerPoint);
  • Ability to thrive in a fast-paced, confidential, and sensitive environment and work effectively under pressure to meet set deadlines;
  • Excellent administrative abilities, strong organizational skills, and detail oriented;
  • Effective communication, interpersonal and presentation skills;
  • Collaborative, open minded and creative in a team-oriented setting;
  • Adaptable, reliable and takes initiative;
  • Positive attitude supports team efforts and works cooperatively with others;
