Administrative Assistant


This is a Full-time position in Ottawa, ON posted September 20, 2018.

Administrative legal assistant needed to support our client, a Law firm located in the downtown Ottawa area.
We are looking for someone with at least 3+ years of experience as an administrative assistant to support two busy Partners in their day to day legal practice.
The ideal individual will be fluent in both English and French, have previous experience in the legal field or have a strong administrative background, experience coordinating complex travel arrangements and managing busy schedules, as well as be proficient in the Microsoft Office Suite.

Roles and Responsibilities
Supporting two busy Lawyers in their practice but performing administrative tasks.
Managing the professionals calendars including coordinating complex travel arrangements and reserving meetings.
Preparing for meetings but sending reminders, organizing briefing materials and file management.
Liaising between the legal professionals and various internal and external individuals, groups and clients at all levels.
Follow up on correspondence, initiate follow up actions and expedite the flow of work through their practice.
Supporting the practice group in monitoring billing matters and undertaking of other administrative tasks.
Qualifications and Experience
3+ years of administrative assistant experience, ideally in the legal field.
Must have experience coordinating complex travel arrangements.
Strong asset to have post-secondary education in Legal Administration.
Must be fluent in English and French (oral and written).
Advanced knowledge of the Microsoft Office Suite.
Finalist must will be required to submit a clear Criminal Record Check.
