This is a Full-time position in Ottawa, ON posted May 3, 2018.

Unifor has a permanent bilingual opportunity as Support Staff – Data Entry in our Accounting department. This role provides support to the Ottawa office and to succeed, you must be highly organized and pay attention to details.

Duties and responsibilities guidelines include but not limited to:

Contact locals that have never provided information on membership to try and get lists with addresses and e-mails in the preferred Excel or CSV format.

Contact locals/employers that have provided information on membership but is older than one year to get up to date information.

Import complete lists when the information is received.

Work with locals to obtain any PDF with membership addresses if Excel or CSV cannot be provided.

Work with I.T. Department to convert the PDF lists to CSV so they could be imported in LAS.

Enter any updates on information we receive as partial membership such as only additional members, only retired members (changing status), only terminated members, only members that changed addresses, etc. These updates will come from locals and all our staff and support staff and the membership@unifor.org address.

Work with Communications department to clear any bounce back e-mail addresses to obtain stats on how we reach our members. Contact members on an individual basis to get the correct information on e-mail address, if needed.

Adjust all communications preferences for any unhappy member receiving mail or e-mail.

Add bad address flag for any returned mail to save on any future physical snail mail for all LAS users. Possibility of correcting addresses if it is an error in the system.

Try to work with the locals to get additional e-mail addresses to reach a greater number of our members.

Work with reps of newly organized units to get the membership information and send the information to Communications department so they can send new members kit, welcome to Unifor and get them their membership cards as soon as they start paying dues.

Work with all the staff collecting information at meetings (i.e. Councils, sector meetings, other groups) to update when needed the current LAS information (hats) as long as the information is complete meaning includes local number and/or employer.

Assign and replace units and members’ hats in the address book to create e-mail lists and snail mail lists to reach groups based on the hats they have.

Maintain the sector/industry/product information for each unit.

Maintain local, employer change in LAS (new units, closed units, mergers) to insure information is updated and matches Unionware dues processing locals and units.

Generate membership reports by locals on a quarterly basis, and by request for delegation purposed of various National, regional and councils.

Other duties as required.

Be completely bilingual in French and English (both written and oral).

Excellent communication skills.

Strong understanding of data base functions (relation between data and filtered results).

Strong Excel skills (sort, formulas, subtotals, graphs).

Demonstrate the ability to organize and coordinate his/her work schedule and manage various priorities of request.

Detail oriented.

Be able to work with a minimum of supervision.
