Program Coordinator

Job DescriptionYour future duties and responsibilities: Support the Program Management Office Director by being the Single point of Contact (SPOC) for all scheduled and ad hoc administrative tasks required to keep the program running smoothly. . Organize and coordinate project team meetings by taking of minutes/action items and follow up with members to ensure action items have been addressed and completed. Attend and assist in team status and executive steering committee meetings by opening teleconference bridges, setting up business Skype and Web sessions and ensuring Audio-Visual equipment is working. Take meeting attendance, record minutes of issues, risks, action items, distribute documentation to participants, assign due date to all action items and follow-up for resolution and closure. Coordinate on-boarding of new team members including space assignments, ID request forms, asset assignments, access requests, and team distribution list management. Facilitate the creation of reports, presentations and dashboards using content and input provided by others. Maintain current view of organizational chart, team contact lists and email distribution lists. Maintain a monthly calendar of events and meetings. Organize the logistics for team events such as social gatherings and townhall meetings. Create, maintain and update project repository (SharePoint). Ensure artefacts and documents respect common look and feel (CLF) and standard nomenclature and naming conventions. Track Release Orders (ROs) and Change Requests (CRs) and pursue for closure and sign off. Coordinate the Project team calendar, vacation, and out of office/meeting schedules. Review and reconcile the project teams timesheets to ensure accurate time recording. Review and reconcile the project teams expense reports to ensure accurate expense recording. Prepare and track purchase orders for workflow approval in the system. Assist with billing and account receivable activities. Handle and maintain confidential information and documentation. Answer and direct all incoming questions for response and resolution. Required qualifications to be successful in this role: Bachelors Degree or Business OR Diploma in IT or Business. Minimum of 3-5 years experience in an administrative role. Ability to obtain a Government of Canada security clearance of Level 1 (Enhanced Reliability Clearance – ERC). MS Office (MS Word, Excel, PowerPoint, Outlook) SharePoint (Asset) English (strong written and oral); Bilingual (preferred) Knowledge of IT consulting industry is an asset Specialized Skills: Excellent multi-tasking and organisational skills Excellent communication and interpersonal skills Exceptionally detail-oriented Have excellent time management, task planning and prioritization skills Works well in a team environment and willing to share knowledge and learn from others.
