Job Description

Kimco Steel Sales is Eastern Ontario’s most innovative and modern New Steel, Scrap Metal and Recycling Centre. Kimco is a high technology sales and processing operation on an impressively maintained 45 acre site in Kingston’s Industrial Park. Kimco is one of eastern Ontario’s largest steel warehousing facilities with 240,000 square feet of steel warehousing.

The Office Administrator will be responsible for being proactive and keeping the office client ready at all times, including the maintenance of all areas of reception, meeting rooms, kitchens and offices.
This role will require greeting clients and visitors, answering the phone, and serving as a main point of contact for all team members and will also be expected to handle additional responsibilities, as required.
This position is well-suited to an individual who takes initiative and is detail-oriented, capable of working both independently and as part of a team, and willing to work flexible hours and overtime as required.

Duties & Responsibilities:

In a shared role, reporting to both the Director, Strategy, and the Senior Director, Communications, you will play an integral role within both departments by providing a full range of administrative activities.

Responsibilities will include:
Development and management of the corporate calendars of the Directors; preparing, formatting and reviewing complex documents, presentations, reports, spreadsheets, and correspondence;
Participate in developing stakeholder/community development outreach calendars; Sending out news releases and other communication to media and stakeholders; Preparing agendas and meeting packages;
Taking and transcribing meeting minutes;
Handling a wide variety of inquiries via telephone and/or email;
Ensuring deadlines are consistently met.

Experience & Skills:

Excellent verbal and written communication skills
Strong interpersonal and customer service skills, with ability to convey professional manner in various situations
Ability to work at a fast pace and produce quality work
Excellent time management skills
Proficient with Microsoft Office desktop applications, specifically Microsoft Excel and Word
