Project Administrator


This is a Full-time position in Ottawa, ON posted July 24, 2017.

The Contractor must:

  • Provide executive support to the Project Director (communications monitoring and preparation, communications distribution, managing schedules, clerical support)
  • Provide administrative support to the team (coordinating team activities, forwarding action items and monitoring their progress, following up with team members and stakeholders as required, clerical support)
  • Coordinate activities and communicate deadlines to team members and stakeholders as required,
  • Monitor activities and follow-up with team members and stakeholders as required
  • Coordinate meetings, including identifying available dates, scheduling, booking facilities, identifying accommodation requirements, event preparation, providing all required reference materials, managing AV and other technical requirements
  • Develop agendas and presentation materials
  • Document records of decision, action logs, meeting minutes, issues, risks
  • Coordinate travel requirements for Project Director and team members
  • Coordinate project reporting requirements
  • Manage invoices and payments
  • Process Human Resources (HR) requestsย 

  • Must have a minimum of one year experience coordinating tasks and activities for a project team within the last three years.
  • Must have experience logging calls and/or issues for further analysis.
  • Must have experience working in a government or private enterprise organization within the last eight years.
  • Must have experience taking detailed meeting minutes.
  • Must have a minimum of three years experience providing administrative support to a team of employees (i.e travel, compensation, etc.)
  • Must be fluently bilingual (English and French).
  • Must have a secret clearance
