Executive Assistant


This is a Full-time position in Ottawa, ON posted July 24, 2017.

Duties and Responsibilities

  • Providing administrative support to the CEO, including: scheduling appointments; arranging travel; responding to written and telephone inquiries and invitations; drafting correspondence; completing expense reports; maintaining electronic and paper files and performing general clerical tasks.
  • Act as liaison between CEO and staff to ensure appropriate coordination and follow-up on day-to-day issues.
  • Assists in the coordination of staff meetings and maintenance of internal reference documents and organization’s manuals.
  • Collaborates with the Strategy Realization Officer in administering board and committee meetings including: scheduling and arranging all meeting logistics; preparing board and committee packets; providing support at meetings and transcribing and disseminating minutes and major decisions; maintains the Board of Directors Orientation Manual, and the Board of Directors/Committees files (electronic and paper); manages internal and external board recognition; maintain corporate minute books.
  • Communicate with members of the Board and other stakeholders on behalf of the CEO.
  • Act on other directives or manage special projects which may be given from time-to-time by the CEO.


  • Excellent organizational, oral, written and listening communication skills; fluency in more than one language will be considered an asset.
  • Ability to take a leadership role in a team model.
  • Ability to exercise independent judgment and discretion in handling confidential matters.
  • Superior skills in administrative and computer software programs (including Microsoft Office [Word, Powerpoint, Excel])
  • Diligent, organized, accurate and detail-oriented.
  • Able to communicate effectively with internal and external contacts.
  • Ability to work independently and multi-task with high degree of project- and time-management capacity.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Positive approach, flexible and a sense of humour.
  • Previous experience in an executive assistant / administrative assistant role for a senior executive.
